Automation saves time, provided you pick the right tasks. Here's a simple method.
List your repetitive tasks
For one week, write down every task you do more than three times: copying information from one tool to another, sending the same email, creating an invoice, following up with a client.
Assess each task
For each one, estimate:
- the time spent per week;
- the risk of error;
- how simple the rule is ("if this, then that").
The best candidates take time, cause errors and follow a clear rule.
The automations with the best payoff
- A web form that automatically creates a record in the CRM.
- A confirmation email sent as soon as a request comes in.
- An appointment reminder the day before.
- A payment reminder after the due date.
- A report sent to the client as soon as a job is closed.
Start with just one
Set up one automation, check that it works for two weeks, then move on to the next.
Stay in control
Each automation must have an owner and be documented. A forgotten automation sending the wrong messages can damage your reputation.
