Going paperless scares a lot of SMB owners. They picture a big IT project, months of training and reluctant employees. In reality, the best way to start is to aim small, but aim right.
1. Take stock of your forms
Gather every paper document used in the business: checklists, work orders, inspection reports, timesheets, logs. For each one, note who fills it in, how often and where it ends up.
2. Pick the form that costs you the most
It's not always the most used one. It's often the one that gets retyped into Excel, goes missing, or causes trouble during an audit. Start with that one.
3. Digitize it as is
Don't reinvent everything. Keep the same fields, in the same order. Your employees keep their bearings, and adoption is much faster.
4. Add what paper can't do
Once the form is online, add value: a mandatory photo, an on-screen signature, a PDF report sent automatically to the manager or the client.
5. Measure, then move on to the next one
After a few weeks, ask three questions: how much time was saved? How many errors were avoided? Are employees using it without being reminded? If so, move on to the next form.
The mistake to avoid
Trying to digitize everything at once. A project that's too broad runs out of steam before it shows results. One successful first form builds momentum for the rest.
At Axentra, we always start from your existing forms. A 15-minute assessment is enough to identify the first one to digitize.
